Deciding how big your wedding should be is probably one of the first and most important questions you will face during the planning process. Do you imagine sitting around a beautifully styled table with your closest friends and family, sharing an extraordinary meal and having the time to truly experience every moment, or do you dream of a grand celebration where different groups of friends, generations and families come together and the dance floor stays full until the early hours of the morning?

Both can be incredibly beautiful in completely different ways, and both can feel exceptionally luxurious. Because the size of a wedding actually says surprisingly little about how special, sophisticated or personal it will ultimately become.

What changes significantly, however, is how you can invest your budget.

Especially when planning a highly individual, design led wedding, it is worth thinking not only about how many people you want to invite, but also about the experience you want to create and which decisions will have the greatest impact on it.

What is considered an intimate wedding?

An intimate wedding is often understood as a celebration with approximately 20 to 50 guests, although there is no fixed definition and for some couples even 60 guests may feel like a relatively small and personal gathering.

What matters is less about a specific number and more about the atmosphere that comes with a smaller guest list. The people attending genuinely know you, play an important role in your life and often share closer connections with one another.

This creates space for meaningful conversations, longer shared moments and an atmosphere that can sometimes feel more like an exceptionally beautiful dinner with the most important people in your life than a traditional wedding event.

However, a smaller wedding does not automatically mean a simpler or less expensive celebration, particularly when the expectations for design, gastronomy, venue and guest experience are exceptionally high.

What makes a grand wedding celebration special?

A large wedding with 100, 150 or more guests creates an entirely different energy that is difficult to compare with a smaller celebration.

It is the feeling of an entire room applauding together, of friends from different chapters of your life meeting for the first time, of the atmosphere gradually building throughout dinner until the dance floor suddenly becomes a place where every generation comes together.

Large weddings often thrive on this collective energy and on the opportunity to bring together people who might otherwise never find themselves in the same place at the same time.

At the same time, a larger guest count increases the organisational requirements because more people do not simply mean more food and drinks, but often larger venues, additional service staff, more furniture, more extensive tablescapes, more complex logistics and significantly more detailed scheduling.

A grand wedding can therefore feel just as personal as an intimate one, but it often requires more intentional planning to ensure that nobody feels like an anonymous part of a large event.

Is an intimate wedding automatically less expensive?

Not necessarily, although a smaller guest count can naturally create more financial flexibility.

Many wedding expenses are directly influenced by the number of guests, including catering, drinks, tableware, linens, furniture and certain aspects of floral design. Other costs, however, remain relatively consistent regardless of whether you are celebrating with 40 or 120 people.

An exceptional photography team, professional wedding planning, an elaborate design concept, certain technical requirements or an exclusive venue can represent a significant part of the budget even for a small wedding.

An intimate wedding with 40 guests can therefore easily cost €50,000 or more if the couple places particular importance on an extraordinary culinary experience, beautiful materials, bespoke design and a highly personal atmosphere.

The main difference is that the available budget is distributed across fewer people, creating different possibilities.

How does guest count affect your wedding budget?

To better understand the financial impact of guest count, it helps to consider a practical example.

Imagine two couples, each working with a total wedding budget of €80,000. The first couple plans to celebrate with 40 guests, while the second wants to invite 120.

Mathematically, the smaller wedding has €2,000 available per guest, while the larger celebration has approximately €667 per guest. Of course, this does not mean that the entire amount is spent on food, drinks or individual guest experiences, because both weddings involve many additional expenses, but it illustrates just how significantly the possibilities change with the size of the guest list.

With 40 guests, the couple might choose to invest more heavily in an extraordinary menu, an exclusive private estate, beautiful table design, elaborate florals or even an entire wedding weekend.

With 120 guests, a larger proportion of the budget will naturally be required for catering, drinks, service, venue capacity and equipment, which may mean that the design concept needs to be prioritised more carefully.

Both weddings can be exceptional, simply in different ways.

Where should you invest when planning an intimate wedding?

A smaller wedding creates opportunities to make individual experiences particularly thoughtful and personal.

For an intimate celebration, we would often recommend placing a strong emphasis on the venue, the culinary experience and the overall atmosphere, because when everyone shares a relatively small space, individual details become more noticeable and meaningful.

A beautifully styled table with high quality textiles, extraordinary florals, carefully selected tableware and warm lighting can become the centrepiece of the entire celebration.

A bespoke menu, thoughtful wine pairing, live music during dinner or a venue that would never be suitable for a large wedding can also make an intimate gathering feel incredibly special.

The idea is not simply to spend more money per person, but to take advantage of possibilities that would be considerably more difficult to achieve financially or logistically with a larger guest count.

Where should you invest when planning a grand wedding?

For a large wedding, we would first make sure that the overall guest experience works beautifully.

This means a venue where everyone feels comfortable, sufficient staffing, seamless service, excellent food, enough drinks and a schedule that feels neither rushed nor unnecessarily slow.

Particularly with larger guest numbers, waiting times, long distances between spaces, complicated transitions or poorly organised dinner service can have a significant impact on how guests experience the celebration.

Once those foundations are in place, the budget can be directed towards the elements that create the greatest shared impact.

That might be an incredible live band, atmospheric lighting, a meaningful ceremony, extraordinary spatial design or a party that genuinely feels like an event.

With a large wedding, not every individual detail needs to be elaborate. What matters much more is that the right elements work together to create a strong and memorable atmosphere.

How does Wedding Design change between intimate and grand celebrations?

Wedding Design changes not only with the available budget, but also with the size and architecture of the space.

At an intimate wedding, delicate and highly individual details can have a significant impact because guests are physically closer to them and experience them more consciously.

At a larger celebration, a stronger overall visual concept may be needed to create cohesion across a bigger space.

An extraordinary installation, long lengths of draped fabric, thoughtful lighting or a carefully considered table arrangement can visually connect a large room, while an intimate wedding may need only one beautifully designed tablescape to create a completely distinctive atmosphere.

At Momentfest, we therefore see Creative Direction not as a question of how much decoration a budget allows, but how the right design decisions can create the desired feeling.

Our background in film and creative production strongly influences this approach because we naturally consider space, light, materials and movement in relation to the story a celebration is intended to tell.

Is a smaller wedding automatically more luxurious?

No, because luxury cannot be measured simply by guest count or budget.

A wedding with 30 guests can feel exceptionally luxurious because every moment is highly personal and extraordinary attention is given to individual details. At the same time, a celebration with 150 guests can achieve an equally high standard when it is professionally planned, thoughtfully designed and executed by an experienced team.

For us, modern luxury is defined much more by quality, individuality and the feeling that everything belongs together naturally.

It is about making the right decisions rather than including as many expensive elements as possible.

How do you decide which wedding size is right for you?

Before finalising your guest list, it is worth taking some time to think about how you actually imagine your wedding day.

Do you want to celebrate with as many people as possible who have been part of your life, or is it more important to spend meaningful time with a smaller group? Do you dream of a huge party with live music and a packed dance floor, or a long outdoor dinner where conversations and personal moments take centre stage?

Your personalities matter too, because some couples genuinely love being at the centre of a large gathering, while others find a more intimate atmosphere significantly more relaxed and authentic.

And sometimes the right answer lies somewhere in between.

Perhaps you choose to celebrate your ceremony and a beautiful dinner with a smaller group before inviting additional guests to the evening party. Perhaps you decide on a larger wedding but intentionally create a few intimate moments throughout the day. Or perhaps you plan an entire wedding weekend so that even with a larger guest count, there is enough time for meaningful connections.

How much should you invest in wedding planning and coordination?

Regardless of guest count, professional wedding planning can make a significant difference, particularly when you have high expectations for design, quality and a relaxed experience.

A small wedding with extraordinary design can be just as demanding from a production perspective as a large celebration, while weddings with higher guest numbers often become more complex in terms of logistics, supplier coordination and scheduling.

A professional Wedding Planner helps allocate the available budget thoughtfully, identify priorities early, build the right supplier team and ensure that the creative vision can be realised both logistically and financially.

For design led weddings in particular, it can be incredibly valuable to consider planning and Creative Direction together from the beginning, because creative decisions and production requirements constantly influence one another.

Intimate wedding or grand celebration: Which is the better investment?

The answer does not depend on which option appears more impressive from the outside, but on which kind of experience genuinely reflects who you are.

A smaller wedding may give you the freedom to invest more deeply in individual details, extraordinary venues and highly personal experiences. A grand celebration, on the other hand, offers a different kind of generosity by bringing many people together to share an experience that may only happen once in this particular constellation.

Both have their own unique value.

At Momentfest, we believe that an extraordinary wedding is not defined by reaching a certain budget or inviting a particular number of guests, but by creating a celebration with a clear vision that genuinely reflects the people it was designed for.

That is why we would always recommend thinking first about how you want to celebrate before deciding how many people should be there and how the budget should be distributed.

Because ultimately, your guests are unlikely to remember exactly how much was spent per person or how elaborate every individual detail was, but they will remember how the day made them feel.

And for us, that is where the true value of an extraordinary wedding lies.
