At What Budget Does Hiring a Wedding Planner Make Sense?

One question we are often asked as wedding planners in Berlin and Brandenburg is: At what wedding budget does it actually make sense to hire a professional wedding planner?
Our answer sometimes surprises couples:
Not every wedding needs a wedding planner.
We regularly receive enquiries for smaller weddings or celebrations with more limited budgets. Sometimes, during our first conversation, we realise that the couple has already booked a venue that takes care of much of the organisation, or that the wedding itself is straightforward enough for them to manage most of the planning themselves.
In these cases, we sometimes even advise couples against booking comprehensive wedding planning with us.
Not because we wouldn't love to be part of their wedding, but because we genuinely believe that their budget may be better spent elsewhere – perhaps on an incredible photographer, exceptional food, beautiful florals, or simply the one element that matters most to them personally.
When Is Professional Wedding Planning Worth It?
As the wedding budget grows and the celebration becomes more individual, the planning usually becomes more complex too.
With a budget of around €40,000 to €50,000 and above, there are often significantly more vendors, contracts and logistical details that need to be coordinated. Bespoke design concepts, florals, stationery, furniture, technical requirements and multiple vendors don't just need to be organised individually, ultimately, everything needs to come together seamlessly.
This is where a professional wedding planner can make a real difference, particularly for larger weddings, multi-day wedding weekends or destination weddings.
For us, wedding planning is never about spending as much of the budget as possible. Good wedding planning means setting the right priorities together and investing your budget exactly where it will have the greatest impact on your celebration.
That's why we primarily take on weddings where we truly feel our work can add meaningful value.
How Far in Advance Should You Book a Wedding Planner?
For full-service or partial wedding planning in Berlin, Brandenburg or abroad, we recommend getting in touch ideally at least one year before your wedding date.
This is particularly important if key elements such as your wedding venue, photographer or other sought-after vendors haven't been booked yet. Many of the best wedding venues and wedding professionals are booked far in advance.
The earlier we start planning together, the more choice you have, and the more calmly and thoughtfully we can develop your wedding step by step.
Can You Book a Wedding Planner at Short Notice for the Wedding Day?
Yes. We often accept bookings for wedding day coordination in Berlin and Brandenburg closer to the wedding date.
As wedding day coordination requires significantly less lead time than full-service or partial planning, we often open these dates during the respective wedding season, once we have a clearer overview of which weekends are still available between our larger planning projects.
So, it can absolutely be worth reaching out to us at shorter notice if you're looking for professional coordination on your wedding day.
We do, however, require a minimum of eight weeks' notice. This gives us enough time to familiarise ourselves with everything you've planned, take over the timeline and coordinate with your venue and all the vendors involved.
On your wedding day, you won't have to wonder whether the DJ has set up on time, when the cake will arrive or who is coordinating the next moment in your timeline.
